This policy explains how OnEasy Consultants Private Limited ("we", "us") collects and uses personal data through virtualx.in and the VirtualX application. We follow the Digital Personal Data Protection Act, 2023 and other applicable Indian law.

1. What we collect

• Account details: name, email ID, mobile number, firm name and role.
• Workspace data: the clients, tasks, documents, messages and other information you and your team add.
• Usage data: device, browser, pages visited and actions taken, used to keep the Service secure and working.
• Payment details: billing name, GSTIN and payment confirmations. Card and bank details are handled by our payment provider, not stored by us.

2. How we use it

• To provide the Service, including AI features that act on your instructions.
• To support you, including over WhatsApp, phone and email.
• To bill you and meet tax and legal obligations.
• To keep the Service secure and to fix and improve it.

We do not sell personal data. We do not use your workspace data to market to your clients.

3. AI processing

When you use AI features, the relevant instruction and workspace data are processed by AI service providers we engage, only to produce the result you asked for, under contracts that restrict their use of the data.

4. Who we share it with

Only with service providers that help us run the Service (hosting, AI processing, messaging and payments), with professional advisers, or where required by law. Each is bound to use the data only for the purpose we engaged them for.

5. How long we keep it

We keep workspace data for as long as your account is active. After closure we delete or anonymise it within a reasonable period, except where the law requires us to keep records.

6. Your choices and rights

You can access, correct, export or ask us to delete your personal data, and withdraw consent where processing is based on consent. Contact us using the details below. If you are a team member in a firm's workspace, the firm controls that workspace and we may refer your request to them.

7. Security

We use access controls, separate workspaces for each firm and secure hosting to protect data. No system is completely secure, so please use strong passwords and limit access to people who need it.

8. Cookies

We use essential cookies and similar storage to keep you logged in and to remember simple preferences. We do not use advertising cookies on virtualx.in.

9. Changes

We will post any changes on this page and update the date above. For significant changes we will also tell account holders directly.
